GroupWise Training Module 3- How To Receive A Message, Reply and Forward and Use Attachments

Opening a message sent to you

All messages sent to you are delivered to your Mailbox folder. Unopened messages are in bold. Simply double-click on a message to open it. Once you have opened a message, you can read it, delete it, reply to it, forward it to someone else or take other action.

Replying to a message

  1. Open the message that you want to reply to by double-clicking on it.
  2. Click on the Reply button.
  3. A box will open giving you will have the choice to reply only to the sender or to reply to everyone who was sent the message (all names listed in the message's To and CC fields). You can also check Include message received from sender or not. Make your choices.
  4. The Subject field will already be filled in but you can change the subject if you wish.
  5. Your cursor will be in the Message field so you can begin typing your message.
  6. When you are finishing typing your message, click the Send button and the reply message will be sent.

Forwarding a message

  1. Open the message that you want to forward by double-clicking on it.
  2. Click on the Forward button.
  3. Type in the email address of the recipient (or if the name is already in your Address Book, simply start typing the recipient's name and it will be auto-filled)
  4. Hit the Tab key to move to the Subject field and enter the message subject. (The Subject field will already be filled in but you can change the subject if you wish.)
  5. Press tab again to get to the Message field and begin typing your message.
  6. When you are finishing typing your message, click the Send button and the forwarded message will be sent.

Opening Attachments

If you receive a message with an attachment, the file will be shown at the bottom of the message. You can open the attachment with the program associated with that file type (i.e. open an Excel spreadsheet in Microsoft Excel) or you can open the attachment within the GroupWise message box using the GroupWise Viewer. Opening with the associated program will take longer but gives you the full capability of the program. Opening with the view is best if you want a quick view of the attachment. Here is how to do each option-

If you right-click on the attachment, you will be presented with 6 options-

  1. View attachment - Opens the attachment in the message box using the GroupWise Viewer.
  2. View in New Window - Opens the attachment in a new message box window using the GroupWise Viewer.
  3. Open - Opens the attachment with the associated program. (i.e. If the attachment was created with Microsoft Word, the Microsoft Word program and file will open.)
  4. Open With - Opens a box where you can choose the program that you want to open the file. Programs that you have installed are listed as choices.
  5. Save As - Gives you the option to save the file to your computer. Use this if the attachment is something that you will want to keep.

You can set GroupWise so that when you double-click on an attachment it opens with the GroupWise Viewer or it opens with the associated program. The first time you double-click on an attachment, you will be asked what you prefer. To change your settings later, choose Tools then Options, double-click on Environment and on the Default Actions tab make adjustments under File Attachments.

Saving Attachments - Important!

GroupWise handles attachments differently from Eudora, Outlook and other e-mail programs that you may be accustomed to using. Eudora saves all attachments to one folder on your computer's hard drive. GroupWise saves attachments along with the message. If you want to keep a copy of an attachment, be sure to save it to the folder of your choice on your computer. If you do not save an attachment but open and make changes to it, the next time that you open the attachment it will revert to the original state. So just be sure to save an attachment if it is something that you will need.
