Crystal Reports


IMPORTANT!

The Class Roster, Student Schedule, Advisor reports have been moved to Business Objects. In order to get access to these reports, you must complete the Business Objects Request form on the Registrar's site (http://students.georgiasouthern.edu/registrar/regadmin/business_objects_req.pdf) and request access to the Advisement Reports folder which houses the Class Roster, Student Schedule, and Advisor reports. Your dean/director must approve this request and sent to Wallace Brown in the Registrar's Office. Wallace will then make the decision about access. If he gives access, he will ask the Computer Center to add you to the REG Advisement Center group and then when you log into Business Objects, you will see the folder and can navigate and run the report.

In order to use ANY of the Crystal Distributed Reports (above) the following requirements must be satisfied :

1. You must have Seagate Crystal Reports 7 installed OR use the instructions below to install a "runtime" version of Crystal Reports (see "Crystal Setup Instructions" below). If you are using Seagate Crystal Reports 8, you must follow the instructions for the "runtime" version as well.

2. If you do not have either ReportSmith or Crystal Reports already installed, you must have the ODBC (sql*net 32 bit) drivers installed on your machine.  You may contact the computer services help desk to obtain the drivers. (Ex. 5429)

3. If you do not already have a Banner user id and password, you must contact your supervisor to get one. 

NOTE!

If you already have Crystal Developer 7 installed on your PC, you may skip the Crystal Setup Instructions below and continue to one of the following links depending on your PC operating system:
WINDOWS 95 or 98 or WINDOWS 2000 or Above (Step 23 below)

These instructions are designed for Windows 95 and 98 installations. For Windows 2000 and above, be sure to note the special instructions highlighted in purple text. You may also need to be logged on as the "Administrator" to install Crystal.

Crystal Setup Instructions

CRYSTAL SETUP

NOTE: These instructions are for users of the Internet Explorer or Netscape browsers, instructions for other browsers are not included.

WARNING: These instructions are rather long (7 printed pages!). You will most likely want to print this page out for reference so that you do not have to switch back and forth between your browser and other programs.  These same instructions are also used to download all other Crystal Distributed Reports and a printout of these instructions would be useful for those reports as well.

1. Click on the above link (CRYSTAL SETUP) to download the setup and test report.

2. You may see a dialog box similar to this one :

3. Make sure that "Save this program to disk" is selected and then click on OK if this appears.

4. You should see a dialog box similar to this one :

4. If another directory other than the desktop is shown in the "Save in" box, you will want to click on the "up one level" button (circled in yellow) until the desktop is the "Save in" directory. Click on Save to begin downloading the file. (This may take a while as the setup file is quit large. The reports themselves are much smaller)

5. After the download is complete, go to your desktop. You should see something similar to this :

6. You will want to double-click on the "crystal_setup.exe" to extract the setup files. You should see a dialog box similar to this :

7. Click on Unzip to extract the files to the desktop. When this is done, you should see a message similar to this (the number of files may vary) :

8. Click on OK. You will then want to click on Close in the WinZip Self-Extractor window to complete the extraction process.

9. Now you should see something similar to this on your desktop :

(**NOTE! for Windows 2000 Users: Double click on the "My Computer" icon on your desktop and then double-click on the following sequence of folders: "Local Disk(C):) \ WINDOWS \ DESKTOP \ crystal setup". Double click on the file "setup.exe" which will run the "Seagate Crystal Reports Distribution Setup" program. Skip to step 12.)

10. Double-click on the folder icon labeled "crystal setup" to open it. Once open, you should see a window similar to this :

11. Double-click on the file "setup.exe," this will run the "Seagate Crystal Reports Distribution Setup" program. 

12. You will now be prompted with several setup screens similar to this one :

13. Simply click on the buttons marked "Next >" (3 times) until you get the following message window :

NOTE TO CRYSTAL USERS: If you already have Seagate Crystal Reports installed on your machine, you will probably get a message stating that a previous version of Crystal Reports was found and that it may no longer work if you continue with this install. This is most likely not the case. Simply click on the Yes button to complete the setup.

NOTE: You may get an error message stating that "MSxxxxxx.DLL is in use." This is ok. Just click on the Ignore button to continue.

14. Click on OK to complete the setup.

15. After the install program exits you can close the crystal setup folder.  On your desktop, you will now want to drag the file "crystal_setup.exe" AND the folder "crystal setup" to your Recycle Bin as they are no longer needed to run the reports. It is IMPORTANT that you do this as this same folder will be used to install the actual reports later on.

(**NOTE! for Windows 2000 Users: CLEAN UP: On your desktop, drag the file "crystal_setup.exe" to the Recycle Bin. Double click on the "My Computer" icon on your desktop and then double-click on the following sequence of folders: "Local Disk (C:) \ WINDOWS \ DESKTOP". Single click on the yellow folder "crystal setup" and press the delete key, or drag it to the recycle bin. Close this window.

16. There are two methods to run the report you have just installed (and all future reports). The first method is by double-clicking the shortcut on your desktop named "Seagate Crystal Reports Distribution" and then double-clicking on the report icon (crystal test report.rpt) in the window. 

(**NOTE! for Windows 2000 Users: This method will not work until you have downloaded at least one report (See instructions below in #23). For now, continue on, using the second method, listed below, to open the test report.)

The second method is by clicking on the Start button and go to Programs - Seagate Crystal Reports Distribution and then clicking on the report name (crystal test report.rpt).

17. After running the report you should then see a dialog box similar to this one :

18. Click on the Print button. You should see a login window that looks like this :

19. Enter your Banner user id and password into the User Name and Password fields. Click on OK to continue. If everything is installed correctly, you should see a report window with a message that looks like this one :

20. Your banner id should show up where the pink text is on this picture. If you cannot get to this screen, please contact the computer services help desk (Ex. 5429).

21. You may now close this window then click on the Done button below the Print button to complete the Crystal Test Report Install.

22. To use any of the Roster/Schedule/Advisor reports, simply click on the links at the top of this page and use these same instructions (to Step 8) to download the report for the appropriate term. If you have Windows 95 or 98, you are finished!

23. **NOTE! for Windows 2000 Users Only: Please download at least one report, (Class Roster, Student Schedule, or Advisor Report), then return here to create the appropriate start button program group and desktop shortcut.

24. FOR USERS THAT DON'T HAVE CRYSTAL 7 DEVELOPER, PLEASE DO THE FOLLOWING, Otherwise skip to STEP 25

CREATE CRYSTAL START BUTTON PROGRAM GROUP: Now, you will have to manually create a program group for your start button to point to the folder that will contain the individual Crystal reports that you will download. On your desktop, double click on "My Computer" and then double click on the following sequence of folders: "Local Disk(C:)\Documents and Settings\All Users\Start Menu\Programs\Seagate Crystal Reports Distribution". Right click inside the white area on the right side of the window and select "New|Shortcut", then press the "Browse" button. Click on the following "Local Disk(C:)\WINDOWS\Start Menu\Programs\Seagate Crystal Reports Distribution". Click on "OK", then "Next", then "Finish".

CREATE SHORTCUT ON YOUR DESKTOP: Left click on the "Start" button, then "Program", then "Seagate Crystal Reports Distribution" and then right click on the drop-down selection that is also named "Seagate Crystal Reports Distribution" and drag it to the desktop. Select "Create Shortcut(s) Here". The new folder on your desktop should read "Shortcut to Seagate Crystal Reports Distribution". You are now finished with the Setup procedure. Return to the top of this Crystal Reports page, and select the appropriate report to download.

25. **NOTE! FOR CRYSTAL 7 DEVELOPERS WITH WINDOWS 2000 Only:

CREATE CRYSTAL START BUTTON PROGRAM GROUP: You will have to manually create a program group for your start button to point to the folder that will contain the individual Crystal reports that you download. On your desktop, double click on "My Computer" and then double click on the following sequence of folders: "Local Disk(C:)\Documents and Settings\All Users\Start Menu\Programs". Right click inside the white area of the window on the right side and select "New|Shortcut". Click on "Browse", then double click the following sequence of folders: "Local Disk(C:)\WINDOWS\Start Menu\Programs\Seagate Crystal Reports Distribution". Click on "OK", then "Next", then "Finish".

CREATE SHORTCUT ON YOUR DESKTOP: Right click on the new shortcut icon you just created, "Seagate Crystal Reports Distribution". Drag this to your desktop area and drop it. Select "Copy Here". A yellow folder will appear with the title "Seagate Crystal Reports Distribution". It will always contain all Crystal reports that you download. You are now finished with the Setup procedure. Return to the top of this Crystal Reports page, and select the appropriate report to download.
