Reservation Process and Procedures

The CRI Facility Management Team has given priority to reservation requests from the following populations in the given order:

  • CRI Departmental Programs and Events
  • SAEM Programs and Events
  • Recognized Student Organizations (Determined by the Office of Student Activities)
  • GSU affiliated groups
  • Non-GSU affiliated groups

The CRI Facility Management Team is committed to providing the necessary support to ensure a successful and rewarding event. Our facility professionals will guide and assist each group in the preparation, supervision, and coordination of the event.

A Facility Request Form must be submitted to the Facility Coordinator for Reservations & Specials Events at the CRI Member Services Desk or through the CRI website (Reservation Form).

Requests are only processed on weekdays, so those submitted after noon on Friday or any time over the weekend will not be considered until Monday.  Event staffing requirements, planning times, and set-up needs vary greatly from event to event.

To accommodate your group and provide a quality experience, we will classify your event within our tier system.  

  • Tier 1: Typically a meeting for an organization or group in one of our existing meeting spaces. These require no special setup and minimal A/V needs. Request for the events should be submitted early to ensure space is available but can be accepted with as little as 24 hours notice.
  • Tier 2: Typically larger events (100 or less in attendance) which may require minimal equipment setup and no additional special event staff.   Requests should be made 2 weeks prior to the event.
  • Tier 3: Typically large events (200-500 in attendance) which require meetings with the Facility Coordinator and/or Graduate Assistant for Special Events. These events involve significant setup, additional staffing, and special equipment needs. Requests should be submitted at least one month in advance.
  • Tier 4: Typically very large events  which have at least one of the following characteristics:
    • Has at least 500 in attendance
    • Involves multiple spaces inside or outside the RAC
    •  Impacts normal daily CRI programs and operations

These events require significant planning beyond tier 3 including multiple meetings with the CRI professional staff and coordination with external groups. It is recommended that these requests be submitted at least 60 days prior to the event date.
