Supervisor Checklist for New Employees

Use this checklist to request computer access for new employees. If all activities are completed by the supervisor and the new employee in a timely fashion, it’s possible to have access already established when the employee arrives on campus. With good response from the employee in turning around signed forms, this process can typically be completed within 5 business days.

This process works like this:

You must access the link below and fill out the online form for your new employee. Basic information for the employee shown at the top of the form must be provided so that we can complete setup for the employee. Select those items your new employee will need upon arrival to campus on the bottom half of the form. Submit the form by clicking ‘Send this info’ at the bottom.

The online form you submit will be received by IT Services and your request will be processed as follows. We will create a request in our call management system so that we can track the setup being done for your employee. If any step appears to be taking too long, we will follow up on your request internally. Once we create the account information requested, we will send notification letters to the new employee of his/her Georgia Southern account name(s)/password(s). These will be sent to the employee’s Georgia Southern Post Office Box as provided by the supervisor on the form.

If you choose certain items on the form, the new employee will have to sign specific documents acknowledging his/her understanding of University policies. If you wish to expedite this process and have the accounts ready upon the new employee’s arrival, you may send the employee these links and request that he/she follow instructions on the form(s) to complete the process.

If this process is initiated more than 5 business days before the employee starts, and if all signed forms are submitted to IT Services in a timely fashion, the employee should have all notification letters at the time of his/her start date. If you have followed this process and the employee does not have these letters at that time, please contact IT Services at 681-5429.
